Sharing Files

When you connect a personal Google account, Team Toolbox is granted access one file at a time. It can only see files you've handed it and files it created itself, and nothing else in your Drive is ever exposed. That's a deliberate trade: the alternative is asking every user for access to their entire Drive.

So the first step is telling Team Toolbox which files it may work with. Run /drive access and Google's own file picker opens on a page of its own, starting in My Drive so you can walk your folders exactly as you would in Drive. There are tabs for shared drives, files shared with you, and recent files, plus search across all of it. Pick a folder and everything inside comes with it. Once a file is shared, everything else on this page works with it: link previews unfurl, /drive search finds it, and doc syncs update the second it changes.

Underneath the picker is the list of everything Team Toolbox can already open for you, searchable by name, so you can check what you've handed over. Google keeps those grants on its side and offers no way to hand back a single file, so removing one means removing them all: open your Google account's connections page, pick Team Toolbox, and remove its Drive access. Everything goes private again and you can re-share what you still want.

You'll be offered this straight after connecting your account, and you can skip it and come back later. The Google Drive section of your User Settings has the same picker if you'd rather do it from the dashboard.

Servers on a Google Workspace domain can skip all of this. With Workspace Mode an admin authorizes Team Toolbox once, and every file your account can open already works. Nothing to share, nothing to pick.

Search Drive

Looking for a file you can't find the link to? Run /drive search with a keyword and Team Toolbox returns the matching files, drawn from the Drive your Google account can already see. Results are private to you, and each one carries a Share to Channel button so you decide what the rest of the server sees.

With a personal Google account the search covers the files you've shared with Team Toolbox. If nothing matches, or you want to look further afield, a Search All of Drive button opens the picker on your whole Drive. On Workspace Mode the search covers everything your account can open.

Doc Syncs

A doc sync mirrors a Google Doc into a Discord channel, so the team reads the current version without leaving Discord. The channel must be empty to start — Team Toolbox manages its contents — and it's worth setting the channel read-only yourself so the mirror can't drift out of step with the doc. Team Toolbox never changes a channel's permissions, and stopping a sync leaves the channel and everything posted in it alone. Headings, lists, tables, links, images and monospace blocks all come across as Discord formatting. These commands need the Manage Channels permission, and you can manage every sync from the Google Drive panel on the Server Settings dashboard.

Edits show up on their own. Team Toolbox updates only the messages that actually changed, so pins and links into the channel keep working instead of breaking every time someone fixes a typo.

If the doc hasn't been shared with Team Toolbox yet, /drive sync_start offers a Choose the Doc button rather than failing. Pick the doc and the mirror starts on the spot.

How quickly updates land depends on how Google is connected. On Workspace Mode, or for a doc shared with Team Toolbox through /drive access, Google reports the moment the doc changes, and the channel updates within seconds. For a doc Team Toolbox can read but hasn't been handed, Google sends no notification, so the channel is checked every 15 minutes instead. /drive sync_now pulls the latest either way.

A few things don't carry over, because Discord has nowhere to put them: headers and footers, page numbering, drawings and charts, and floating images. Comments and pending suggestions are left out too — the channel shows the agreed document, not work in progress.
